Position Overview
The Session Secretary serves as the "Front-End Traffic Controller" for the main stage. This is a newly created, high-visibility role designed to manage the flow of members, guests, and sponsors before they transition backstage. As the first point of contact for stage appearances, the Session Secretary ensures that the production area remains secure and that all presenters are briefed and ready for their cues.
Learning Outcomes & Responsibilities
Through this experience, the Session Secretary will:
- Coordinate Stage Logistics: Manage a dedicated "check-in" desk located at the stage perimeter to intercept and organize guest appearances.
- Facilitate Professional Communication: Provide clear, concise instructions to VIP guests, sponsors, and state officers regarding their stage entrance and timing.
- Manage Access Control: Maintain the integrity of the backstage environment by ensuring only authorized personnel enter the production area at their designated times.
- Collaborate with Production Leadership: Maintain constant communication with the Stage Director to provide real-time updates on guest arrival and readiness.
Candidate Qualifications
- Interpersonal Skills: Must be highly personable and comfortable directing others, including high-level sponsors and VIPs.
- Situational Awareness: Ability to stay calm and organized while managing a "waiting room" atmosphere near a loud, busy stage.
